Privacy notice
Last updated: 8 October 2026
A citizenship by descent case is built from personal documents: yours, your children's and your ancestors'. Some of them you send us; others we obtain from archives and civil registries on your behalf. This notice explains what we collect, why, who receives it and how long we keep it.
Who is responsible for your data
Origo is the controller of your personal data. The legal entity and its registration number are listed on the Company details page. For any question about your data, write to contact@origocitizenship.com.
What we collect from you
- Identity and contact details: name, e-mail, phone, address, passport details.
- Documents you send us: passports, birth, marriage, death and naturalisation certificates, and any other family records.
- Information about your family line: names, dates and places of birth of your ancestors and relatives, and the details of your children if they apply.
- Your correspondence with us by e-mail, WhatsApp or Telegram.
What we obtain from other sources
Under the power of attorney you sign, our specialist requests records from civil registry offices and state archives in Moldova, Ukraine, Romania and other countries where your family lived. These are birth, marriage and death records of you, your parents and your ancestors. We use them only for your case.
Sensitive information
Old civil records often state a person's nationality or religion, for example in the "nationality" column of a Soviet certificate or in a synagogue or parish register. Under the GDPR this is a special category of data. We process it only with your explicit consent, given in the agreement, and where it is needed to establish your right to citizenship before the Romanian authorities and courts.
Why we use your data
- To perform the agreement with you: obtaining records, preparing the application file, filing it and representing you.
- To answer your enquiry before any agreement is signed: this is our legitimate interest in replying to a person who contacted us.
- To meet legal obligations, such as keeping accounting records of payments.
We do not sell your data and do not use it for advertising.
Who receives your data
- Our specialist in the Republic of Moldova, who requests records under your power of attorney.
- Romanian lawyers who file your application and represent you in court.
- Sworn translators and notaries who translate and certify your documents.
- Public authorities: civil registries and archives, the National Authority for Citizenship (ANC) in Bucharest, Romanian consulates and courts.
- Courier services that deliver original documents.
- Our technical providers: Google (e-mail and document storage) and Cloudflare (website hosting).
Transfers outside the European Union
Records are obtained in the Republic of Moldova and in Ukraine, which are outside the European Union, and your application is filed in Romania. Sending your data there is necessary to perform the agreement you asked us to carry out. Our technical providers may process data outside the European Union under their own safeguards.
How long we keep your data
- Case files: for three years after the agreement ends, then deleted. This is the period during which either side may still raise a claim.
- Enquiries that did not lead to an agreement: for twelve months after our last exchange.
- Accounting records: for as long as accounting law requires.
Original documents you send us are returned to you or handed to the authority they are intended for.
How we protect your data
Documents are exchanged through a private folder that only you and we can open. Our accounts are protected with two-step sign-in. Only the people working on your case see your documents.
Your rights
You may ask us to show you the data we hold about you, correct it, delete it, restrict its use, or send it to you in a portable format. You may object to its use and withdraw your consent at any time; withdrawal does not affect what was done before it. Deleting data while the case is running may make it impossible to continue.
To use any of these rights, write to contact@origocitizenship.com. We reply within one month. You may also complain to the data protection authority of the country where you live or work.
